Tracking Leads

Staying organized to keep potential pledgers engaged!

Because most people won't take the 1% pledge their first time hearing about OFTW, it's important to keep track of those that express interest so you can invite them to additional touch points and follow-up appropriately.

Have a way of allowing folks to express interest.

Here is a Google Form that can be customized to your context:

  1. Make a Copy of This Form by clicking on the three vertical dots in the top right corner, and choose "Make a Copy".
  2. Customize it to fit your context. For example, if your focus is graduate-level students, delete the answer options for undergrad; add in your school's name; add any additional questions you might find helpful, insert your socials handles, etc.
  3. From the responses tab, click "Link to Sheet" and select "Create a new Spreadsheet". A new Google sheet will generate, with all current and future answers populating there.
  4. Tailor your spreadsheet by adding columns to keep track of the leads who complete the interest form. For example, I manually added columns F-J below. You/your team can update these columns as your lead progresses through their journey to a pledge.

  1. For some columns, a dropdown menu might make sense. To add one, select cells you wish to add dropdown options, for example, maybe the first 50 cells of column I (you can always expand later). Click the Data menu at the top of the document, then choose Data Validation, then Add Rule. Add your dropdown options, color code them if you'd like, then click Done.  Now you'll see the dropdown options in the sheet:

You can share this document with your team and your leads tracker may eventually look like this:

PRO TIP: Manually adding rows to the sheet synced with the form may cause glitches! Instead, I suggest you create a second tab in the same Sheet Document with the same headers called "Manual Entry". This will limit technology issues but still provide a space within the same document to track leads that might not have filled out the form.
